Build a process your team can actually use

A useful business process makes the next step clear. It should help people complete recurring work consistently, even when the person who usually handles it is unavailable.

Begin with one recurring problem

Choose a task that regularly causes delays, repeated questions or missed information. Examples include handing an estimate to the project team, collecting daily field records or bringing a new employee into a role.

Walk through the work with the team

Ask the people doing the task to explain what happens today. Identify the information they need, the decisions they make and the point where responsibility moves to someone else.

Write down the essentials

Keep the first version simple: the task owner, the required inputs, the steps, the expected result and where the record belongs. A short checklist that people use is more useful than a detailed document nobody opens.

Try it and improve it

Use the process on real work. Review where people hesitate or need extra information, then update the steps. Assign someone to keep the process current as the business changes.
